Application Process

We strongly suggest that you contact us prior to sending in your application to discuss exactly what you are looking for in a language immersion program. There are many different program options and The Learning Traveller staff are more than happy to help you find the right program fit for your language needs and interests.

There are no academic entry requirements for the teen/mature teen summer or gap year programs. Application packages can be downloaded through the Application link found on each program overview page. Alternatively, we can send you an application package by either e-mail or regular post.

Once you have decided which program is the right fit for you, please follow the application steps below:

STEP 1 - Download Your Application Package

Please download the application package from the Application link on the program overview page or contact us by phone on 1 888 386 1411 or by e-mail at info@learningtraveller.com to request an application package for your chosen program. 

STEP 2 - Fill Out and Return Your Application and Program Deposit

Please fill it out the application completely, sign it and e-mail (info@learningtraveller.com) a scanned copy or fax (1 416 925 5990) a copy of the application to reserve your spot in the program. If you are paying the deposit by credit card, be sure to include a signed copy of the Credit Card Authorization Form with your application.

If you would like to pay the deposit by check, please note this at the top of the application. Checks are payable to Alderly Group Marketing Inc, and can be mailed to:

Please note: Applications will not be processed until your deposit is received. Once your application is processed, the deposit is non-refundable as per The Learning Traveller Terms and Conditions

STEP 3 - Start to Prepare for Your Program

Booking Confirmations: Within 72 hours of receiving your application we will issue a formal booking confirmation by e-mail. 

Booking Confirmation Documents: Some programs have additional documentation that must be signed as part of the application process. This will be sent to you via e-mail along with the formal booking confirmation.

Travel Arrangements: Once you receive your formal booking confirmation you can make your travel arrangements. It is very important to follow these guidelines:

  1. Please do not make any travel arrangements until you have received a formal confirmation from us. 
  2. Please check the program start and finish days for your specific program to determine your arrival and departure dates. We cannot guarantee accommodation availability for arrivals before or departures after the listed start and finish days. Also, there may be extra accommodation and transfer charges if you arrive or depart outside of these days. 
  3. Please call us toll-free on 1 888 386 1411 if you are having trouble getting flights for the required days. 
  4. Once you have your travel arrangements confirmed, be sure to provide us with your travel plans so we can inform the school and make arrangements for your airport transfers (if required).

Travel Documents: It is your responsibility to ensure you have the necessary travel documents.  Citizens of the US should check the following website to determine exactly what documents and visas (if any) are required for travel to the host country of your program: http://travel.state.gov/.  Citizens of Canada should visit: http://www.voyage.gc.ca/preparation_information/tourist-visas-tourisme-eng.asp. Insurance: Comprehensive medical and travel insurance is included in all program fees. Once The Learning Traveller receives your travel details, we will book your insurance and issue you a policy confirmation document. Please contact us if you have any questions. Pre-departure Packages: Approximately 4 to 6 weeks prior to your program start date, we will send you a comprehensive pre-departure package by e-mail.

STEP 4 - Make Your Final Payment 45 Days Prior to the Start Date

Final payments are due 45 days before your scheduled start date and are payable by check, credit card, money order or wire transfer. For bookings made less than 45 days before the program start date, complete payment is due upon booking and is payable by credit card.  We will be in touch 10 weeks prior to the course start date with a final payment reminder.
